• Responding to a Request

    To submit your response to a Buyer’s Request, you will need to ‘Create a Response’ using the response wizard. This allows you to send documents and any other necessary information to the Buyer.

    To create your response, click the 'pen and paper' icon to the right of the Request.

    This will open a response wizard where you will be able to create your response. Follow the prompts to complete each step. You will need to finish all the required fields and steps before you can submit the response.

    If you click 'exit' while in the response wizard, everything you have saved will be kept as a draft. If you do not click the 'Save and Continue' button at the bottom of a section, this information will not be saved.

    By clicking the delete button, your response will instantly be deleted. The 'Preview' button allows you to view your response as the Buyer sees it.

    Once you have finished each required section, you can either save as a draft or submit your response.

    By clicking the 'Save as draft' button your response will not be sent to the Buyer. To submit your response to the Buyer, click the 'post to Buyer >>' button before the Request/Tender closes.

  • Editing your Response

    Once you have created a response, you can continue editing it up until the closing time. You can edit both 'draft' and 'submitted' responses during this time. 

     

    For draft responses

    When your response is saved in draft, you will see a 'red pen and paper' icon. Click this to continue working on your response.

    For submitted responses

    If you have already submitted your response, the 'pen and paper' icon will appear greenYou will need to click on the 'You’ve responded' link to first view your response(s).

    Next, click the Edit link to edit the response. If you have multiple responses to the one request, they will appear here.

    Make sure you save any changes you make by clicking the 'Update' button at the bottom of the relevant sections and clicking the 'Post to buyer' button at the final 'Save Response' tab.

    You can view your response by returning to My Responses and clicking the 'view' button to the right of the relevant response.

  • Can I Pull a Report on the Requests I Received, and the Responses Submitted?

    The Vendor Admin has the ability to pull a report that exports a list of all the Requests & Tenders they have received in their account for the lists they manage. It will also include information about any responses sent against each request, whether by themselves or by a linked Colleague.

    Please note

    The report will not include Requests/Tenders that you have received access to as a Colleague.

    The below instructions detail how to export the report:

    1. You will need to select Reports under the Admin Tools heading on their home page.

    2. There is only one report you can download which is titled Response Status. Once you click on the link you will have two options:
      • Download the response status for each Request posted to your organization on the supplier lists you manage by clicking the Download All button.
      • Or, you can select a date range of Requests by clicking on the Requests from: box to input a starting date, clicking on the to: box to input a to date, and clicking on the Download Dates button to download the response status for all Requests specified in the date range.mceclip0.png
  • Submitting More Than One Response to a Request

    You can submit additional responses to the same Request. This is useful in situations where you want to provide multiple Quotes, Tenders, or other responses.

    Once you have submitted your first response, you can click the 'green pen and paper' icon to the right of the Request/Tender.

    You will need to complete this process in the same way as your first response, by finishing each step before saving and submitting the response.

    You can repeat this process to create as many responses as required. To view, delete, or edit any of the responses, click the 'You’ve multiple responses' link below the Request/Tender and then click the 'responses posted to this request' link.

    You can also find these responses by going to the Pending decision section under the 'My Responses' tab on your menu bar.

    Here, you will find the 'view', 'edit' and 'delete' options to the right of each response. You can also find the individual response’s reference number and time and date posted, next to each response.
